Write Once, Answer Many
Draft messages using a consistent scaffold: Context, Decision or Proposal, Request, Deadline, and Next Steps. Add a bold one-sentence summary at the top for scanners. Anticipate questions and embed links to sources. Clarify ownership by naming a single responsible person, not everyone. Specify when silence equals consent, and how to flag concerns. End with a small checklist to guide replies. This structure prevents back-and-forth spirals and keeps projects moving asynchronously.
